The Sales & Marketing Experience Coordinator is a critical role within the marketing and sales organizations as this person is responsible for and will manage all inbound leads across all marketing channels, campaigns and initiatives as well as provide support to the sales executives on how and when to nurture these leads. This role will act as the liaison to our sales teams across offices to ensure database accuracy, management of collateral and fulfillment, and accountability. The Sales & Marketing Experience Coordinator will coordinate inventory and fulfillment of marketing collateral pieces. Additionally, this role will oversee the guest and prospect experience at Palmetto Bluff and aim to deliver the ownership lifestyle for each visit.


• Serves at the first point of contact for all inbound inquiries from real estate campaigns. Qualifies interest, manages initial communications, tracks attribution and contact info with these leads and handles distribution to the appropriate entity.

• Works with sales teams to educate, track data and ensure follow up occurs. Identifies active prospects within systems and alerts teams for follow up.

• Manages email subscription preferences based on best practices.

• Complete initial fulfillment, touch points and nurturing programs for all new leads.

• Oversee fulfillment and nurturing at sales level to confirm consistency with marketing workflow and brand standards.

• Manage inventory of marketing collateral and fulfillment for items identified as part of each customer journey.

• Proposes content updates to Marketing and Sales leadership. Updates content for all email journeys to ensure accurate and up-to-date messaging.

• Supports team on content, social media and messaging.

• Maintain an understanding of all active marketing campaigns and collateral developed by the marketing team in order to manage workflow and campaign attribution. Works with sales team on its use to ensure all stays on brand.

• Oversees active campaigns and reviews call recordings for campaign accuracy and training goals monthly.

• Work with Marketing Manager to organize off-site and on-site sponsored events. Assist with events including travel arrangements, accommodations, meeting rooms, transportation, maps to locations, contact details for clients, hotels, meeting rooms, collateral, etc. Ensure overall experience is positive and pushes attendees towards real estate and club membership.

• Execute and manage the Discovery program, Partnerships and VIP experiential program to increase sales and immerse clients in the lifestyle. Work with Marketing Operations Manager, Marketing Manager, Director of Marketing to ensure discovery experience exemplifies the overall experience as a Member. Ensure all pre-arrival communications and bookings are secured, itineraries are complete and adhered to, manage touch points pre, on and post arrival and work with teams to ensure the best experience possible. Manage post-stay billing and reporting.

• Work with Marketing Manager on all media experiential visits and support with itinerary as needed to plan out trip from pre to post arrival.

• Assist with the bluff Magazine by providing support with mail lists, distribution on a local and national level where appropriate.

• Assists agents with database use, reports and training as needed.

Demonstrates courteous and cooperative behavior when interacting with public, leads and staff; acts in a manner that promotes a harmonious and effective workplace environment.

• Contributes to the efficiency and effectiveness of the sales and marketing teams by offering suggestions and directing or participating as an active member of a team.

• Maintains confidentiality of all records across databases.


• SC real estate license a plus, but not required.

• College degree in sales, marketing, business, systems or other related field required.

• Two to three years of experience working in a similar position.

• Excellent communication skills (oral and written).

• Proficiency in MS Office products to include Word, Excel, Access and Outlook.

• Professional phone skills with excellent customer service.

• Ability to organize, prioritize, meet deadlines and multi-task.

• Ability to work in fast-paced environment.

• Familiarity with and preferably experience with Hubspot and Propertybase.

• Strong technical skills and mindset to leverage database and workflow-oriented software.

• Ability to deliver high quality work, quickly, in a dynamic organization under pressure.

• Must be able to lift objects weighing between 0 and 30 lbs.

• Ability to stand, stoop, bend and lift.

• Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail.

• Vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.

• Must be available to travel on occasion to locations for training and/or conferences for future educational development as well as travel to offsite sales & marketing events.
