JOB SUMMARY: Palmetto Bluff is seeking a real estate front desk coordinator for the Palmetto Bluff Real Estate Company. The real estate front desk is the face of the Palmetto Bluff real estate entity as they are the first point of contact for all prospects, members and guests. We are looking for a self-starting multi-tasker who operates at a fast pace, is engaging, organized, friendly, confidant and enjoys customer-facing interactions. This person must be proficient with Microsoft Office and be able to navigate our database applications quickly and efficiently. We’re a professional group to work with, and we like to have fun too. Unlimited M&Ms and laughs. Must love dogs.


  • Meet and greet all Palmetto Bluff members, guests and prospects and provide the first impression.
  • Maintain and manage the front desk of Palmetto Bluff Real Estate Company.
  • Develop and maintain relationships with the real estate sales team and assistants to ensure smooth interactions and efficient management of tours, meetings, activities.
  • Set-up conference rooms as needed to ensure readiness for sales team (architects, builders, etc.) meetings, in coordination with the real estate operations manager and broker-in-charge.
  • Use Outlook and email capabilities to schedule and coordinate meeting room spaces as needed.
  • Swift literacy with CRM database applications to input new leads, schedule real estate appointments, track activities, property showings and tours.
  • Notary or the ability to become one.
  • Serves at the first point of contact for all inbound walk-ins from real estate campaigns. Qualifies interest, manages initial communications, tracks attribution and contact info with these leads and handles distribution to the appropriate entity.
  • Great phone skills and the ability to rotate leads on an assigned basis.
  • Provide support for the Sales & Marketing Experience Coordinator on discovery visits.
  • Managing sales collateral inventory system and processes.
  • Maintains an understanding of all active marketing campaigns and collateral developed by the marketing team in order to manage workflow and campaign attribution.
  • Assists agents with database use, reports and training as needed.
  • Support the sales and marketing team on special projects or assignments such as report clean up and event support to include VIP and media guest relations.
  • Stay abreast of Palmetto Bluff news and be able to converse with visitors and share our story.
  • Maintain the professional appearance of the lobby and gallery area and ensure the refreshment area is stocked and ready for visitors.
  • Use office equipment – fax machine, copier, postage meter, telephones.
  • Conduct Internet research as required.
  • Assembling and shipping information packages to prospects and guests.
  • Fuel and maintain sales vehicles.
  • Manages sign-ups for the PB 101 and PB 201 staff training sessions.
  • Contributes to the efficiency and effectiveness of the sales and marketing teams by offering suggestions and directing or participating as an active member of a team.
  • Demonstrates courteous and cooperative behavior when interacting with public, leads and staff; acts in a manner that promotes a harmonious and effective workplace environment.
  • Maintains confidentiality of all records across databases.
  • Primary hours are Monday - Friday, from 8:30 a.m. – 5:00 p.m.


  • Two to three years of experience in a similar position. Real estate office experience is a plus.
  • Excellent written communication skills as well as professional phone skills with excellent customer service.
  • Ability to organize, prioritize, meet deadlines and multi-task in fast-paced environment.
  • Strong technical skills and mindset to leverage database and workflow-oriented software.
  • Proficient in Microsoft Outlook, Word, PowerPoint and Excel and Google applications.
  • Experience with BrightDoor CRM, Propertybase or Hubspot a plus.
  • Able to work independently and in a team environment.
  • Ethical, conscientious and dependable work ethic.
  • Time management, multitask, phone skills, friendly, enthusiastic, job ownership/responsibility, adaptable to various personalities/situations, approachable demeanor and professional image.


  • Constant and close visual work at computer.
  • Constant sitting and working at desk.
  • Frequent verbal and written communication with staff and other business associates by telephone, correspondence, or in person.
  • Must be able to lift objects weighing between 0 and 30 lbs.
  • Ability to stand, stoop, bend and lift.
  • Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail.
  • Vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone.
