Job Summary:
The Marketing Operations Manager (MOM) works to increase the efficiency and agility of the marketing organization, aligning marketing and sales efforts with overarching business strategy, as well as with other departments and key stakeholders. The MOM manages the internal production process, outside agency and printer relations, inventory, campaign reports and purchase order and billing processes in order to measure and improve marketing performance and develop and maintain effective operational workflows. This role is responsible for executing, with the marketing team, cross-channel marketing strategies that communicate the company's club and real estate value propositions and key messages to the consumer. This role leads the internal production process and systems, manages calendars and tasks, production personnel’s output, marketing assets, and works to get campaigns created and out the door. This role also oversees the experiential program created to drive real estate sales.

This role must be highly organized, possess the ability to manage many projects and deadlines at once as well as maintain composure under pressure. This role must be service oriented and have a get it done attitude.

Essential Functions:

  • Develops and maintains the operational production framework for producing marketing campaigns effectively and efficiently, on time and on budget.
  • Develops and manages internal marketing production personnel, processes, quality controls, workflows, and provides qualitative reporting and analysis.
  • Collaborates with the teams to develop traditional and digital marketing plans, strategies and campaigns that are powerful, memorable, and drive revenue.
  • Develops, manages and maintains optimal marketing production and campaign approval systems that promote accountability, effectiveness, efficiency, alignment, agility and scalability.
  • In conjunction with Director of Marketing, responsible for evaluating the effectiveness of marketing programs and providing measurable results.
  • Assists with management of all marketing budgets for various business lines. Reviews, tracks, inputs, and monitors all expenditures by marketing and creative staff for all budgets. Prepares, codes, and processes check requests to ensure timely payment of invoices. Reviews, codes, and processes corporate credit card requests. Posts all expenditures to internal system for tracking. Reconciles monthly accounting reports to posted internal year-to-date spending. Prepares monthly reports on budget status and attends financial review meetings.
  • Collaborates with VP of Marketing, Director of Marketing, Marketing Manager and Creative Director to manage and position the brand with a keen focus on consistent integration, voice, tone and vision within all marketing outputs.
  • Manages production and execution of photo and video shoots with Creative Director. Schedules full-time onsite photographer to service the needs to various business lines for content.
  • Oversees fulfillment and touch points for marketing CRM program and ensures materials are inputted into database systems for use.
  • Works with Marketing Manager on implementation of events, both onsite and offsite. Responsible for overseeing the execution of production of event materials and communications.
  • Works with various team members on the management of digital initiatives including planning, developing, executing and demonstrating ROI of paid, earned and owned digital media campaigns including websites, SEM, display media, video, email, social, online custom content and brand integration, and other new emerging digital communication platforms.
  • Manages all campaign tracking and set up in database systems and ensures all production jobs include correct tracking. Tests all prior to distribution.
  • Maintain marketing inventory and office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Manages all assets on marketing server, Google docs and photo libraries are in an orderly way per the process documents. Trains team on usage and organization.
  • Provides executive support including but not limited to preparing presentations and special projects, administrative duties, HR processing and staff management needs.
  • Contributes to the efficiency and effectiveness of the marketing department by offering suggestions and directing or participating as an active member of a team.
  • Demonstrates courteous and cooperative behavior when interacting with public, members and staff; acts in a manner that promotes a harmonious and effective workplace environment.


  • College Degree in marketing, business, systems or other related field required.
  • Three + years of experience working in a similar position.
  • Agency and/or real estate experience a plus.
  • Excellent communication skills (oral and written).
  • Proficiency in MS Office products to include Word, Excel, Access and Outlook.
  • Working knowledge of Adobe Creative Suite.
  • Professional phone skills with excellent customer service.
  • Ability to organize, prioritize, meet deadlines and multi-task.
  • Ability to work in fast-paced environment.
  • Familiarity with and preferably experience with Hubspot and Property Base.

Physical Requirements:
Constant and close visual work at desk or computer. Constant sitting and working at desk. Frequent verbal and written communication with staff and other business associates by telephone, correspondence, or in person. Must be able to lift objects weighing between 0 and 30 lbs. Ability to stand, stoop, bend and lift. Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, stamina to maintain attention to detail. Vision to read printed materials and a computer screen, and hearing and speech to communicate in person and over the telephone. Must be available to travel on occasion to locations for training and/or conferences for future educational development as well as travel to offsite sales & marketing events.
