Palmetto Bluff is searching for a Club Event Coordinator to join the Club Membership Event Planning team. This is an essential member of the team. This role aids the Club Special Events Manager by completing administrative tasks in a timely and accurate manner. This role will include a wide variety of administrative tasks, event planning, and strategic planning contributing to membership engagement and positive member experiences.

Essential Job Functions

Job duties include; although are not limited to:

  • Performing clerical duties such as typing correspondence, BEO and reports, filing, and answering phones
  • Assist the Club Special Events Manager with all BEO’s for member events and large group activities
  • Creation of BEO’s for all reoccurring events and activities
  • Assist with menu creation/production and marketing of member events in various publications and member website
  • Assist with event design for various events
  • Meeting frequently with banquets and food/beverage operations to ensure consistency and seamless execution of events
  • Assist with establishing budget parameters and event pricing
  • Submit vendor invoices into payment software and monitor estimates and invoices
  • Will occasionally directly manage small events on day of events as directed by department managers
  • Maintaining various virtual filing systems, including vendor information for each function
  • Answering questions and concerns, following through with a resolution, or referring to the appropriate manager
  • Attending and assisting with the execution of event day activities such as checking on vendors, providing additional assistance to clients and guests
  • Assisting managers in scheduling appointments, meetings and coordinating rentals and specialty items for events as required
  • Assuring all incoming and outgoing correspondence is properly typed, received, mailed, and/or filed as required
  • Maintaining a professional working environment and performing miscellaneous tasks upon request of the Manager
  • Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the property, which may include morning, evenings, weekends, and holidays
  • Attendance during the entire duration of events is required
  • Attendance at all scheduled training sessions and meetings is required

Job Knowledge, Skills, and Abilities

  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.
  • Excellent verbal and written communication skills are required.
  • Operating knowledge of event software preferred (Delphi, fdc., Meeting Matrix, Opera, Resort Suite, Clubessential).
  • Knowledge of hotel catering operations preferred.
  • Strong customer service skills.
  • Must have proficient skills with Microsoft Office products; Word, Excel, PowerPoint, and Outlook.
  • Knowledge of the local area is helpful.

Qualifications

  • Bachelor’s Degree in Hospitality, Event Management, or similar field
  • Two (2) years experience in club or hotel environment, ideally in banquet/catering operations or catering & conference services or related sales departments.

Physical Requirements

  • Position requires exerting well-paced mobility as well as the ability to maneuver between functions occurring simultaneously.
  • Must be able to bend, stoop, squat, and stretch to fulfill tasks.
  • Must be able to lift up to 15-40 lbs. on a regular and continuing basis.
  • Requires manual dexterity, grasping, writing, standing, sitting, walking, repetitive motions, bending, and climbing.
