Job Summary:

The Accounts Payable Coordinator is responsible for maintaining the account payable process in an efficient and accurate manner.

Essential Job Functions:

Job duties include, although are not limited to:

  • Receive invoices via email/postal main/dept heads, etc.
  • Stamp and organize by department head for distribution/approval.
  • Enter all invoices into SAGE/Timberline.
  • Process checks using SAGE/Create-A-Check.
  • Match checks with invoices, prepare for mailing.
  • Create Positive Pay file for submission to the bank.
  • Ensure the AP process is efficient (i.e., e-invoicing, software options, etc.).
  • Process employee expense reports.
  • Maintains accurate records of vendor invoices and contracts.
  • Provides general accounting assistance/backup to various team members.
  • Conducts themselves with a high level of integrity regarding confidential issues.
  • Ensure certificates of insurance are current for vendors.
  • Annual 1099 process.
  • Assist in the development/implementation of applicable Company policies and procedures.

Qualifications:

  • Bachelor’s Degree and/or appropriate work experience working in related field (at least 3-5 years)
  • Knowledge of accounting software and use in a prior position
  • Club and Operations experience preferred
  • 1-2 years of experience working in a human resources environment or small office
  • Excellent writing and communication skills
  • Professional demeanor at all times
  • Competency in Word, Excel, PowerPoint and Publisher
  • Work Monday through Friday and ability to work weekends
  • Valid driver’s license or reliable method of transportation to/from work.
